What every meeting pod comes with

Acoustic-insulated walls and acoustic glazing keep the conversation inside the pod and the open-plan floor outside it. Interviews, reviews and client calls happen a few metres from the desks without being heard at them.

Fresh air comes in and warm air leaves through the roof the whole time the pod is in use, so a full room stays comfortable through a long meeting. The number of fans scales with the model.

A ceiling sensor brings the lighting and ventilation up as the first person steps in and powers them down after the last one leaves. Nothing to switch on, and nothing left running overnight.

Touch controls for lighting and ventilation sit beside a NZ power socket with USB-A and USB-C, so laptops and phones run through a meeting without a cable to the floor.

Every meeting pod comes furnished: a meeting table with two sofa chairs in the M2-Pod, and a table with two sofas in the L4-Pod and XL-Pod. All of it is in the published price, not an extra.

Count the people who will normally be in the room, not the most you could ever need. The M2-Pod is a two-person meeting room, built for one-to-ones, interviews and two-person calls. The L4-Pod is designed for four and takes six for a shorter meeting. The XL-Pod is designed for six and takes eight.

Two things catch people out. If you present on a screen, count it as an occupant: it takes a side of the table. And size for your normal meeting rather than your largest one: a pod that is right four days a week beats one that is right once a month.

Yes — it is what the M2-Pod is for. It holds a meeting table and two upholstered sofa chairs, and it has a full-perimeter door seal, so a conversation at ordinary speaking volume is not intelligible to people working outside it.

That matters more for this use than for most. An interview, a performance conversation or a difficult one-to-one is exactly the discussion that cannot happen at a desk in an open-plan office — and booking a meeting room for it announces itself in a way that stepping into a pod on the floor does not.

The way to satisfy yourself is the direct one: sit in one at a showroom, close the door, and have someone speak inside while you listen from outside.

The L4-Pod is designed for four. That is what the table and seating are sized for, and four is the number it is comfortable at for a long session — a workshop, a retro, an hour-long team meeting where people need room to work.

Six will fit. For a shorter meeting — a stand-up, a quick review, something that runs twenty minutes rather than ninety — six average-sized adults get in and sit down without it being a squeeze. It is the length of the meeting that decides it, not the headcount on its own.

If most of your meetings are six or more and they run long, look at the XL-Pod instead. Both are 2150 mm wide; the XL-Pod is 2100 mm deep against the L4-Pod’s 1350, and that extra depth is the whole difference.

The XL-Pod is designed for six. That is what the table and seating are sized for, and six people can spend a long session in it — a board meeting, a leadership review, an all-hands for a small team — without anyone being short of space.

Eight will fit. For a shorter meeting, eight average-sized adults get in comfortably enough; for a two-hour session, six is the honest number.

It is the largest pod in the standard range at 2150 × 2100 × 2185 mm, and it runs sixteen fans — a room this size fills with people quickly and the ventilation is sized for that. If you regularly need more than eight, that is a custom build rather than a standard model.

Peacepod meeting pods are $12,395 + GST for the two-person M2-Pod, $13,895 + GST for the four-to-six person L4-Pod and $23,995 + GST for the six-to-eight person XL-Pod. Custom sizes are priced on request.

The price covers the pod fitted out as standard: table and seating, lighting, ventilation and power, acoustic walls and glazing, wheels and levelling feet. Delivery and installation are quoted with your order, based on your location and site access.

The furniture is included too: the desk, seating, table or display mount that comes with your model. All of it is standard, not a paid upgrade.

We hold stock of our standard models locally in New Zealand, so if the model you want is in stock we can usually deliver and install within one to two weeks.

If your order needs to be manufactured, the lead time is approximately eight weeks. That applies to custom pods too — a custom build does not take longer.

A built meeting room is a project rather than a product. It is quoted per site, and what it costs depends on your building, your landlord, the condition of the space, and what the work uncovers once it starts — construction, electrical, glazing, ventilation, AV and furniture are all separate lines. We don't publish a comparison figure for that, because a national average tells you nothing about your building. If you are weighing the two up, get a fit-out quote for your actual space and put it beside a price that is already fixed.

One difference worth weighing beyond the cost: a pod is assembled on site and stands on its own wheels, not fixed to the floor, walls or ceiling, so it can be repositioned as your floor plan changes or go with you at the end of a lease. A built room stays with the building.

The thing most likely to need checking is fire services. Depending on how your building's sprinkler coverage and detection are laid out, they may need to be reviewed or adjusted for an enclosed space. That varies with the building, your lease and local requirements, so it is worth raising early with your building manager. Tell us about your site and we will quote delivery and installation for your location.

Nothing, in practice: they are two names for the same product, a freestanding, soundproof room that stands on the office floor rather than being built into it. “Booth” tends to be used for the one-person phone booth, and “pod” for anything people meet in, which is why the M2-Pod, L4-Pod and XL-Pod are meeting pods.

Whichever word you search for, the questions to ask are the same: how many people will normally use it, whether it is assembled on site in sections or built in, what comes as standard in the price, and whether it can move when the floor plan does.

Yes — that is what the showrooms are for. You can spend as long as you like inside a pod: make a call, listen to how much of the room drops away when the door closes, and get a feel for the size.
